Office Supervisor (Customer Service & Administration)

Royal ProResp (Barrie and Orillia offices) Full-time permanent position

The Office Supervisor at ProResp will be responsible for the overall supervision of the customer service and the administrative management of the Royal ProResp office. As a team member, you will play an integral part in continuing the success of community respiratory care.

Expectations of the role include (but are not limited to):

  • Supervision of the Customer Service Representative team across the organization and distribution of daily workload, vacation scheduling, attendance and performance monitoring/feedback
  • Acts as lead support for all other office team members
  • Mentor and train new Customer Service Representatives
  • Manage client concerns promptly and effectively
  • Accountable for ensuring the general flow of office work and productivity is efficient and well organized
  • Administrative management of the Home Oxygen Program Applications, Assistive Devices Program forms, and Billings on Hold
  • Manage inventory processes and thresholds
  • Provide administrative leadership with CPAP equipment sales
  • Is an active champion of company policies and procedures and work instructions; provides feedback on improvement/correction of work instructions
  • Provide professional office administration and management support for all office activities
  • Maintain all equipment, files and records for effective functioning of offices
  • Ensure the client office experience is clean, organized, friendly and inviting

Qualifications:

  • Demonstrated management/supervisory experience or proven transferrable skills
  • Experience in customer service and administration in a healthcare environment
  • Demonstrated aptitude for coaching and mentoring
  • Self-management and self-motivation skills
  • Ability to work well independently and as team member
  • Excellent multi-tasking capabilities; able to handle a very busy office environment with multiple priorities and deadlines
  • Effective communication skills (verbal, written, and electronic)
  • Strong skills in general office procedures such as inventory, client records, accounts receivable, invoicing and applications
  • Excellent problem solving, time management, organizational skills and attention to detail
  • Flexible nature to meet requirements and demands.
  • Computer proficiency in Microsoft Office Suite including spreadsheet applications
  • Experience or an understanding of respiratory products, Home Oxygen Program and Assistive Devices Program considered an asset

Hours of work: Monday to Friday, 9:00am-5:00pm. Some flexibility in hours and additional hours will be required at times to meet business needs.

Education: Secondary school graduate at minimum. Post-secondary education in office administration or a related field considered an asset.

Language Requirements: Ability to speak, read and write fluently in English.

Physical demands: Walking, sitting, standing, pending, reaching and some lifting abilities (up to 40 lbs).
